About the position

Our client is a fast-growing AI-assisted SEO firm helping brands like Expedia, Beam, Evvy, and LinkedIn increase visibility and revenue through advanced search strategies. Founded by former CMOs and marketing leaders, the company combines AI tools, automation, and deep SEO expertise to help brands win across both traditional search and emerging AI-driven discovery platforms. We’re hiring an Executive Assistant with strong operations instincts to act as the execution engine for the Founder and Growth Lead. This role goes beyond traditional EA support. While you’ll own core executive tasks like inbox and calendar management, the bigger focus is keeping projects moving, building systems, and executing on operational priorities across the business. You’ll help turn ideas into execution — researching initiatives, coordinating workflows, supporting hiring processes, managing CRM updates, and using AI tools to speed up execution. Responsibilities

  • Manage the Founder’s inbox and calendar, ensuring priorities stay protected
  • Handle communication follow-ups and scheduling to keep leadership focused on strategy
  • Assist with preparation of meeting briefs, summaries, and follow-ups
  • Post and manage LinkedIn content and engagement for the Founder
  • Build lead lists and maintain CRM workflows in HubSpot
  • Coordinate hiring processes (interview scheduling, candidate briefs, follow-ups)
  • Track tasks and initiatives across tools like Asana or Notion
  • Create and maintain SOPs and internal documentation
  • Identify gaps in workflows and propose improvements
  • Help ensure projects move forward without constant check-ins
  • Use AI tools (ChatGPT, Claude, automation tools) to draft content, summarize information, and accelerate execution
  • Take first passes on research, workflows, and operational tasks using AI assistance

Requirements

  • 2–4+ years in operations, executive support, project coordination, or similar roles
  • Experience supporting founders, executives, or small teams
  • Comfortable managing multiple priorities in fast-paced environments
  • Strong written and spoken English communication
  • Experience with tools such as Google Workspace, Notion, Asana, Slack
  • Experience working remotely with distributed teams
  • CRM tools (HubSpot or similar)
  • Project management tools (Asana, Notion, ClickUp)
  • Process documentation / SOP creation
  • LinkedIn or social media coordination
